Operator Qualifications

Use the Operator Qualifications feature to store information about your users, for example:

  • Technical and professional certifications
  • Corporate roles and responsibilities
  • Authority or permission to perform actions, etc

Qualifications are used to determine who can perform actions on forms (items and tickets) for the length of time you determine (expiration date).

  1. On the top menu bar, click System Management ( )>Administration>General>Operator Qualifications
  2. In the upper right corner, click New Qualification
  3. On the New Qualification page, type the name of the qualification and a description
  4. Click Save. The page reloads with the new qualification listed

 

Use Work Type Qualifications to:

  1. Link a Qualification to a form (work item or ticket)
  2. Make the Qualification required to perform actions on the form

After linking them, users without the qualification (or with an expired qualification) cannot perform the actions that require the qualification.

  1. On the top menu bar, click System Management ( ) > Administration > General > Operator Qualifications
  2. In the left column, click Work Type Qualifications
  3. On the Work Type Qualifications page, in the upper right corner, click New Work Type Qualification
  4. In the Create a Work Type Qualification window, choose the form you want to link to a qualification.
  5. Click OK. The Qualifications for [form name] Actions page appears. The For Actions section lists the actions on the form
  6. On the Qualifications for [form name] Actions page, in the Require Qualifications section, click Y, then click +Add Qualification to choose the qualification. Click Add
  7. The qualification appears in the Require Qualifications section

 

In order to link users to qualifications you must set the expiration date of the qualification. After linking them, every time users with qualifications log in to the system, the login page tells them how many days are left before the expiration date. Users whose qualifications have expired cannot perform the actions on the form linked to the qualification.

  1. On the top menu bar, click System Management ( ) > Administration > General > Users
  2. On the User Summary page, in the Name column, click user whose qualifications you want to set to expire
  3. On the User Detail page, click Modify this User
  4. On the Modify a User page, in the User Information section (at the bottom), choose the qualification, set the expiration, and click Add
  5. Click Save. The User Detail page appears with the qualification listed in the Operator Qualifications section

 

After creating qualifications and linking them to forms and users, they must be applied at the group level to be enforced. In most cases, this has been done by your company's UtiliSphere administrator.

The benefit of enforcing qualifications in groups is that you can turn them off individually (per user) without turning them off for the entire group. If you need to turn off users' qualifications, edit their account directly (see Users).

  1. On the top menu bar, click System Management ( ) > Administration > General > Groups
  2. On the Group Summary page, in the Name column, click the group you want to enforce qualifications for
  3. On the Group Details page, click Select Group Options
  4. On the Configure Group Options page, in the Operator Qualification section, check the Apply Operator Qualification Rules
  5. Click Save. The Group Details page appears. In the Options section "The operator qualification rules apply to users in this group" appears
